Booking Policy

Effective Date: January 5, 2026
This Booking Policy outlines the terms and conditions for making reservations at The Cara Hotel. By completing a reservation, you agree to the terms stated below.

1. HOW TO MAKE A RESERVATION

Reservations can be made through:

  • Official website: www.thecarahotel.com
  • Online Travel Agencies (OTAs)
  • Walk-in at the hotel
  • The Cara Hotel official reservation number

A reservation is only confirmed when a confirmation reference number is issued by The Cara Hotel or our authorized third-party partners.

2. GUEST INFORMATION REQUIRED

To complete your reservation, you must provide:

  • Full name
  • Valid contact number
  • Email address
  • Home address
  • Valid payment details (Debit or Credit Card
3. PAYMENT POLICY

Payment Methods Accepted:

  • Credit and Debit cards (Visa and Mastercard)
  • Bank Online Transfer
  • Cash (when paying at the property)

When Payment is Required:

  • Payment must be made upon arrival before check-in if paying in person
  • For online bookings, payment terms vary based on the booking platform used

Security Deposit:

  • A refundable security deposit of RM200.00 is required per booking
  • Payment by cash or credit card pre-authorization
  • Refunded within 5-7 business days after checkout, subject to room inspection confirming no damages and no outstanding charges

Pre-Authorization:

  • The Cara Hotel reserves the right to pre-authorize credit cards without prior written or verbal approval
4. ROOM RATES & PRICING
  • Room rates are subject to change based on demand and availability
  • Prices displayed do not include breakfast unless otherwise specified
  • The Cara Hotel reserves the right to change prices without prior notice
  • All rates are in Malaysian Ringgit (MYR)

Tourism Tax:

  • A tourism tax of RM10.00 per room per night applies to all foreign guests (non-Malaysian citizens)
  • Malaysian citizens and permanent residents are exempt upon presentation of valid identification
  • Tourism tax is payable in addition to room rates
5. RESERVATION MODIFICATIONS

Changes to Your Booking:

  • Requests to modify dates, duration of stay, or add products/services are subject to availability
  • Amendment fees may apply
  • Modified rates will be based on current demand

Room Assignment:

  • The Cara Hotel will attempt to accommodate all guests of the same reservation in the same room
    or on the same floor, subject to availability
6. CANCELLATION POLICY

Free Cancellation:

  • Reservations can be cancelled without charge if notice is given at least 3 days prior to 3:00 PM
    (local time) on the arrival date

Late Cancellation:

  • Cancellation notice of less than 3 days will incur a charge equivalent to the full stay amount

No-Show:

  • Failure to arrive on the arrival date without prior cancellation will result in a charge equivalent to the full stay amount

Refund Processing:

  • All refunds are subject to verification and approval
  • Online refunds will take 7-14 working days to complete
  • Refunds will be processed to the original payment method
7. HOTEL-INITIATED CANCELLATIONS

The Cara Hotel reserves the right to cancel or modify reservations without prior notice due to circumstances beyond our reasonable control, including:

  • Acts of God
  • Government intervention
  • Natural disasters (fire, flood, etc.)
  • Civil disturbances, war, or embargoes

In such cases:

  • Affected guests will receive a full refund of any paid fees
  • The hotel is not liable for any additional costs incurred by guests
8. INVALID RESERVATIONS

The Cara Hotel reserves the right to cancel reservations if:

  • Payment details provided are incorrect or invalid
  • Guest fails to provide required identification at check-in
  • Guest does not meet age requirements (18+ years old)
  • Fraudulent booking activity is suspected
9. SPECIAL REQUESTS
  • Special requests (room type, floor preference, accessibility needs, etc.) are noted but not guaranteed
  • Fulfillment is subject to availability upon arrival
  • Guests with disabilities or special care requirements should inform the hotel prior to arrival
10. CHECK-IN & CHECK-OUT TIMES

Standard Times:

  • Check-In: 3:00 PM
  • Check-Out: 11:00 AM

Early Check-In & Late Check-Out:

  • Available upon request with 1 week prior notice
  • Subject to availability and charges apply

11. AGE REQUIREMENTS
  • Primary guest must be 18 years or older to make a reservation
  • Guests under 18 may stay only with parental consent provided during check-in
  • Failure to meet age requirements may result in automatic cancellation without refund
